How do I make sure I'm ready to go live with NexHealth? How do I make for an easy transition to using NexHealth?

Follow this go-live checklist to ensure your transition to NexHealth is smooth and patients receive a seamless experience.

Overview

Complete the Get started series

In your welcome email from NexHealth, you should have received a link to Get started, which will guide you through the first steps, tailored to your health record system.

1. Create your account.

Click the Get Started button in your welcome email. Then, you’ll be walked through account creation.

2. Install the Synchronizer.

As part of the Get started series, you’ll be prompted to install NexHealth’s Synchronizer. If you’re having trouble with this, you can check out the two articles below

If you won't be connecting NexHealth to your health record system, you’ll skip this installation.

3. Add users

You can add users from Settings → Users. For more details, check the guide on how to add users.

4. Upload your logo

You can add your logo from Settings → Logo. For more details, check the guide on uploading your logo.

5. Turn on NexHealth features.

You can speed up your onboarding process by starting to turn on various features, depending on your NexHealth subscriptions. Most of these can be found in Settings (found from the gear icon).

6. Download iPad/iPhone apps

You can use the iPhone and iPad apps to manage NexHealth on the run, and you can use the iPad app to create in-office kiosks.

Kickoff call

1. Prepare for your kickoff Zoom call.

  • Have a computer with a microphone and camera ready for the Zoom kickoff call.

  • Review our Zoom Tips & Tricks for the best experience.

Zoom's secure, reliable video platform is how we will meet for your kickoff, customization, and training meetings.

  1. Quiet: To get the most out of your training, it helps to take the call away from the front desk where you can focus without interruptions.

  2. Internet: Launch Zoom from a computer with access to a reliable connection.

  3. Audio/microphone: You’ll need to be able to hear us and speak to ask questions. Test the audio and microphone on your device here.

  4. Camera optional: We love to see our smiling customers, and will have our cameras on, but you can choose to be camera on or off.

  5. Share with the team: Zoom allows you to invite as many team members as you like to the session–even in different offices. Just forward the link in your meeting invitation to them.

2. Gather information and documents.

If you’ve already installed NexHealth

If you haven’t yet installed NexHealth

  • Ensure you have admin credentials for your health record system or have your IT Manager available.

  • Submit your forms to be digitized.

  • Have your EIN ready.

  • Have your bank info ready.

3. Inform existing service of planned cancellation.

Send Email #1 to your existing service, if you have one, informing them of your planned termination date.

Subject: Urgent* Terminating contract with [vendor name] on [Go-Live Date]

Body:

Dear [Existing Service] Team,

This letter is to inform you that we have decided to terminate our contract and will no longer be using your solution as of [Go-Live Date].

We wish you the best.

Customization & training

In your customization call, you’ll tailor NexHealth to your practice. Review these guides beforehand.

In your training call, additional staff learn to use NexHealth. The training content will be similarly structured to the getting started guides in our help center.

Go-live launch

1. Cancel your existing service.

Send Email #2 to your existing service, if you have one, informing them of termination.

Subject: Urgent*: Please turn off [vendor name] ASAP

Body:

Dear [Existing Service] Team,

Please turn off our system immediately. We have opted to move forward with a different solution.

2. Announce NexHealth to your patients.

Send your first campaign introducing online booking and other NexHealth features.
