How do I set up automated communications?

Templates are how NexHealth sends automated communication to your patients.

Overview

Activate templates

You can customize every template within NexHealth, but you can also go to our ready-built templates and turn them on if you don’t need to customize them.

A green dot to the left of the template indicates that the template is active.

Every template in NexHealth has the same basic functions: an Action (the gray tile at the top of the sequence) which triggers the sequence to send, and then Email and SMS messages (the purple tiles), which you can customize. This ensures your automated messages are sent at the right times for each patient.

1. Go to Templates.

You can find Templates in the left navigation sidebar.

2. Select a Template to activate.

3. Toggle on the switch, then click Yes.

Switch the toggle to on (teal), and then confirm that you would like to turn it on.

Edit your templates

NexHealth templates have been thoughtfully designed and tested for effective communication, but should you choose to customize them, it is easy to do so.

1. In Templates, select a sequence to edit.

You can find Templates in the left navigation sidebar.

2. Hover over and click on the pencil icon to the right of a gray tile.

To edit a trigger (gray tile) or action (blue tile), hover over the trigger or action and then click on the pencil icon to the right of the tile.

Only some templates will allow you to edit triggers.

A dark gray panel will appear on the right of your screen enabling you to adjust the trigger or action for the template.

3. Adjust the timing for the step.

Use drop-down menus or tile selection to adjust the step.

Different types of triggers will look different - for instance, you can adjust the time of day for daily triggers, or the intervals for payments, forms, or appointment reminders.

4. Hover over and click on the pencil icon to the right of a blue tile.

To edit the Email or SMS message, hover over the tile and click on the pencil to the right. This will open the Email text editor.

The NexHealth template and campaign editors do not support iframes or video embeds at this time. If you would like to insert a video into a template or campaign, use an image, then highlight the image and link it to the video.

5. Edit the message.

You can type various things in your message, and you can also use smart commands to insert items that will change automatically based on appointment types, dates, patients, etc.

‍6. Click Preview.

Click Preview to see how the message will appear to patients. Click Exit preview mode to return to editing.

7. Click Send test.

Click Send test to send a message to your email or mobile device.

Send test does not work for the Reviews template - the request must be connected to an actual appointment to send.

SMS messages are limited to 425 characters. Emojis and some special characters count as two characters, so the character limit is less when those are used.

8. Click Save and exit.

Click Save and exit to save changes and return to the editor.

9. Add new steps with the + (plus sign) button, then select an action.

You can add more steps to sequences with the gray plus sign, and then edit them.

Customize template Sending hours

You can change the times during the day that patients receive automated messages like appointment Reminders or Reviews.

1. Navigate to the gear icon, and select Settings.

You can find this in the upper-right.

2. Select Template configurations.

3. Click in the time boxes to adjust your sending hours, then click Save.

Automated templates will be sent during the selected hours.

If you have reminders configured to send shortly before an appointment (for example, two hours before), Reminders will only be sent within the designated time period. (e.g. if your sending hours are 6 AM to 10 PM, and you have a sequence designed to send two hours before the appointment, the first appointment time that would receive the reminder is 8 AM. Earlier appointments will not receive the two-hour reminder). See the article for setting your reminders for early morning appointments.
