For use with NexHealth Templates and Communications - Recalls and Campaigns
While NexHealth predominantly uses the term “Recall,” for these reminders, your individual practice or health record system may use the term “Recare,” and you may also see the term “Continuing care.”
All three of these terms refer to the same thing: reminders to get patients to schedule appointments for continuing care.
NexHealth has three different ways to get patients who are due for care back into the chair, ensuring seamless patient care.
If you have purchased Scheduling, the online booking link is included in these messages to make it quick and efficient for patients to schedule their appointments.
Overview
Option 1: Activate the standard recalls template
Option 3: Use a Campaign template for recall
Activate the Standard template for Recalls
The recall template goes out to patients who do not have an appointment on the schedule.
By default, it is set to go out six months to the day after the patient's last appointment, if they do not have an appointment upcoming.
By default, this goes out to ANY patient, regardless of their original appointment type.
1. Navigate to Recalls.
Use the lefthand sidebar to navigate to recalls.
2. Select an Appointment Type sequence, or + Add Recalls Sequence.
When you create a new Recalls sequence, you’ll be prompted to specify which appointment types you’d like the Recall to notify.
3. Edit the Recalls sequence as desired.
You can edit this template as you would edit any other template.
Edit timing
To change the timing of when this template is sent, click on the pencil to the right of the gray Next action tile. Be sure to click Save when finished.
Edit messages
Use the pencil icon to edit specific messages within the recall sequence.
Add steps
Use the + button to add steps to your recall sequence.
4. Toggle on the sequence.
To activate, use the toggle at the top of the sequence. Switch the template to ON, and click YES when prompted.
Use the Custom template for continuing care
Remember: in this context, “recall,” “recare,” and “continuing care” are used interchangeably to refer to recall templates and campaigns.
The Custom continuing care templates go out to patients based on the due date for their next appointment recorded in your health record system, usually Prophy or Perio.
By default, these templates begin to go out the day before the listed due date in your health record system. They then go out after 1 month, 2 months, 4 months, 6 months, 8 months, 12 months, 18 months, and 24 months after the due date or until they book an appointment. You can view the full sequence by clicking on tiles with a clock on them.
1. Go to Templates → Custom tab.
If you do not see the Custom tab, contact NexHealth Support. One of our team members will be glad to activate your Custom Recall templates if available.
Custom Recall templates are available for most health records systems that NexHealth integrates with, but not all.
For Eaglesoft, we read the next recall date.
For other systems, we read the due dates associated with your common recall appointment types such as Prophy, Perio, Exams, etc.
2. Edit the Recalls sequence as desired.
You can edit this template as you would edit any other template.
3. Toggle on the sequence.
To activate, use the toggle at the top of the sequence. Switch the template to ON, and click YES when prompted.
Use a Campaign template for recall
Remember: in this context, “recall,” “recare,” and “continuing care” are used interchangeably to refer to recall templates and campaigns.
The Campaigns Audience Builder includes filters to identify patients by their Continuing Care due dates and unscheduled treatments (by procedure codes).
These templates automatically target patients who either have not been seen in a set amount of time (6 months is the default) or patients who are overdue for their regular continuing care visit (usually Prophy or Perio).
1. Go to Campaigns → Favorites.
Access Campaigns from the lefthand sidebar.
2. Search for the recall templated campaign.
Use the search bar to search for a template, or alternatively, you can start a campaign from scratch.
3. Click on the template, then click Make a copy.
Alternatively, you can use the ellipsis (…) for the template and select Make a copy.
4. Title the campaign and select Locations, then Continue.
You can select multiple locations at a time.
5. Use the filters to narrow your audience for recall.
Within Select audience, you can use Appointment, Procedure, and Continuing care filters, depending on your health record system - not all of these options are available to all health record systems.
Under Appointment types and Continuing care filters, select “Do not send to patients with an upcoming appointment” for recall campaigns.
