Overview
Collect Payments
Regardless of whether you want to collect from the NexHealth credit card terminal, charge a saved payment method (or add a new one), or send a payment request (text/email-to-pay link) to a patient who has left the office, everything starts from the Collect Payment screen.
1. Access the Collect payments screen.
You can initiate collection from a patient anywhere in NexHealth where you see the $ button, or a button that says Collect Payment.
Option 1: From Today’s appointments
Click the $ button in the patient's appointment row (seen here at lower right)
Option 2: Use the Global search bar
Click the $ button next to any patient
Option 3: From the Payments page
Click the Collect payment button in the top right corner, then search for a patient.
Option 4: From the patient’s page
When in a patient’s information page, from the Actions menu in the top right corner, select Collect payment
Option 5: From the Not Requested tab within Payments
Click the $ button next to any displayed family, all the way to the right.
If you click the $ button for a family, you'll see a list of the family members to choose from. Select the appropriate family member to continue to that patient's Collect payment page.
2. Specify collection amount.
Once you've reached the Collect Payment screen, you must specify how much you wish to collect from the patient.
Ledger Sync users see all ledger items with unpaid balances for the selected patient. Select each to add their open balance to this payment request. If you want to collect a different amount than the full remaining balance for any item, you can manually update the amount in its Requested amount field.
Selecting specific ledger items to collect for has benefits.
NexHealth will calculate the balances owed for you, so you do less typing.
Completed payments automatically sync, allocated to the specified ledger items.
NexHealth will generate patient statements from this, leading to less confusion about charges.
You can also always add a Custom amount to collect for an additional arbitrary balance.
Non-Ledger Sync users are prompted only to enter an Amount and Reason (and an optional Appointment Date).
3. Select your preferred payment method.
