How do I record payment requests completed outside of NexHealth?

Use Mark as paid to record payment requests completed via check, cash, or another method outside of NexHealth.

Overview

Recording payments made outside NexHealth

Sometimes you send a payment request to a patient, but instead of paying online, they walk into your office and hand you cash or a check (or by CareCredit or some other non-NexHealth method). To complete the process, you’ll have to Mark as paid or Cancel request, at which point they will not receive further reminders for this request.

1. Collect the cash or check payment.

It’s a physical transaction in the world!

2. Go Payments → Awaiting payment → Manage.

Select Manage for the payment you want to Mark as paid.

3. Mark as paid.

Click Mark as paid from View payment.

You can also Cancel request from View payment. This deletes the payment request entirely from NexHealth. However, the completed payment will not appear in the Transaction history or payment reports.

4. Select Payment method and add notes.

In the Payment method dropdown, select how the payment was received (cash, check, or other). You can also add any notes for your own reference, such as check number.

5. Choose whether to email a confirmation receipt.

Toggle Email a confirmation receipt to patient if you’d like NexHealth to automatically send a receipt.

6. Select whether to automatically sync the payment to your ledger.

If you use Ledger Sync, you have two options:

  • Automatically sync: Sync the payment back to the patient ledger as a NexHealth Manual Payment.

  • Mark as posted: If you’ve already posted the payment manually, use this to prevent a duplicate entry.

Non-Ledger Sync customers will always need to manually post the payment back to the patient ledger.

7. Click Mark as paid.

This manually marks this payment request as paid in Nexhealth.

⚠️ This step cannot be undone.

In Transaction history, click Show details on a Mark as paid transaction to review the Payment method and Notes you entered.
