How do I send different communication based on appointment types?

Appointment journeys allow you to build appointment-specific messages that, depending on your health record system, can be customized by Appointment or Visit Type, Service or procedure code(s), operatory, and/or provider.

Currently this feature is available for customers using Athena, Cloud9, Dentrix, Dentrix Ascend, Dentrix Enterprise, Denticon, Eaglesoft, eCW, ModMed, NextGen Office, or OpenDental.

For use with NexHealth Templates, Communications, and Scheduling.

Overview

Creating separate templates by appointment

1. Create the appointment types.

Set up each appointment type in Online bookingAppointment types. You can read more about creating appointment types.

2‍. Create mapping rules

Create mapping rules to so that NexHealth map appointments in your health record system to NexHealth appointment types. This makes it so the correct reminders are sent to patients with specific appointment types.

3. Navigate to Templates and toggle on Customize templates by appointment type.

Ensure Customize templates by appointment type is toggled on.

Build the template for each Appointment type

Build the customized communication to send Reminders, Post appointment follow-up, or Recall messages to patients scheduled for this appointment type.

1. Select a Template type → select an Appointment type to edit.

This is the same process for Reminders, Post-Appointment Followups, Recalls, Appointment Requests, and more.

You can also add new reminders sequences at the bottom of the page with + Add <template type> Sequence. When you create new sequences, you’ll be prompted with toggle switches to note which appointment types to send this reminder for.

2. Edit the sequence.

Edit the sequence as you would any template. You can also add or delete messages from any sequence using the same steps as you would in any other template.

When editing the text of Reminders, be sure to leave the APPOINTMENT_REGISTRATION (or INSERTCONFIRMAPPT) smart command intact to allow patients to confirm their appointments from the message. If you have Smart Form Automation configured, the appropriate forms will automatically be sent to the patient.

3. Preview, Save, and Activate the template.

Preview, Save, and Activate the template via the normal template editing process.
