Communicate in patients' preferred languages

Use NexHealth's multilingual translation support to communicate with patients in their preferred language.

For patients whose preferred language is not English, we've made it simple to send NexHealth's automated communications in other languages.

NexHealth will read a patient's preferred language from your practice management system for Dentrix, Eaglesoft, Open Dental, Dentrix Enterprise, and Orthotrac. For other systems, you can edit a patient's preferred language in NexHealth.

You can also add the Preferred language form component to any form to collect and update a patient's preferred language in NexHealth.

Add a patient's preferred language in NexHealth

1. Search for the patient in the search bar and click the patient's name to open the profile.

2. Click on Actions and select Edit patient info.

3. Select the patient's preferred language from the drop-down menu and click Save.

Translate templates

To set up a template to send in one or more languages other than English, follow these steps:

1. Navigate to Templates and select the template you'd like to translate.

2. Click on Add translations.

3. Select the desired language(s) to translate.

4. Click Translate. This will translate all content included in the template.

5. The translation will run in the background and may take some time. We recommend refreshing the page to view the translated content.

6. Review the message to be sure the translation matches your expectations. Be sure to leave any Smart Commands intact.

7. To translate a single email or SMS message, click on the pencil icon to the right of the message you want to translate to open the editor.

3. Click on the + Language translations tab at the top of the editor.

4. Locate the desired language from the list of your patients' preferred languages and click on + Translate.

Patients whose preferred language matches those set up in the template will now receive that template in their preferred language -- automatically!

*Note: Any edits made to messages within a template ONLY affect the template on which the edits are made. If you make edits to your English template and would like them to be reflected on all of the other templates, click on Remove the translation from the template editor, and follow steps 2 - 6 above to translate the template(s) again.


Translate campaigns

1. Create or navigate to the campaign to be translated.

2. Select the audience and finalize the content of the email and/or SMS.

3. Click + Language translations at the top of the campaign editor.

4. Click +Translate to select the desired language (note: the modal indicates the language(s) preferred by your patients).

5. The translation is added to the content editor. If the translation does not appear, try re-adding the language or refreshing the page.

6. Review the campaign to be sure the translation matches your expectations.

7. Click Send to send the campaign now or choose Schedule to send it later.

Translate forms (coming soon!)

1. Navigate to Forms --> Manage Forms.

2. Click on the ellipsis to the right of the form you want to translate and select Edit details.

3. Click on + Language translations at the top left of the form.

4. Click + Translate next to the desired language.

5. View the translated content and edit as needed.

6. Click Save and preview to view the form as patients will see it.

7. Click Save and exit to save the form.

Any time that form is selected (whether through a manual form request or via smart form automation), it will go to patients in their preferred language.

Add the Preferred language component to a form

You can add the component to collect a patient's preferred language to any existing form. This will update the patient's preferred language in NexHealth, allowing translated templates, forms, and campaigns to be sent.

To add the Preferred language component:

1. Navigate to Forms --> Manage forms.

2. Click on the ellipsis to the right of the form you want to translate and select Edit details.

3. Drag the Preferred language component from the column on the left to the desired location on the form.

4. The Preferred language dialogue box appears. If you would like to give the patient instructions beyond Preferred language (such as "Select the language you would like us to use to communicate with you."), you can type them in the Label box.

5. Click Save to add the component.

When a patient completes a form with this component, the preferred language will be updated in NexHealth. (This does NOT update the patient's preferred language in your practice management system.)

FAQs about form translations

  1. Can we add another language that's not listed?

    1. If there is another language you would like us to add, that may be possible. Please let our team know.

  2. How do I preview the translated form?

    1. Hit Save and preview to review the translated content in the context of the form.

  3. Can I translate the forms to multiple languages at once?

    1. While we currently don't support this functionality, but it will be coming in the next few weeks.

  4. How do I make changes to the translations?

    1. You can make changes directly in the translation window by clicking into the boxes on the right-hand side of the table.

    2. To delete a translation, click Remove translation on the top right.

  5. Why are there weird symbols in the translation?

    1. For some forms, there are specific formatting needs that are communicated through text, so they appear in the translation table. When you preview the form, these should not appear.

  6. I don't have the patient's preferred language on file. How can I add that?

    1. Edit the patient profile to add the preferred language. Click on the patient's name and then click Actions --> Edit patient info. Select the Preferred language from the drop-down menu.

    2. Use the preferred language component in the patient information form. This will collect a patient's preferred language and add it to their patient profile in NexHealth.

    3. Add the Preferred language component to existing forms to collect and update a patient's preferred language.
