NexHealth recognizes patients who are active in your health record system, as well as records marked as non-patients (as in the case of a parent or guarantor). Active patients are eligible to receive automated communications such as reminders. NexHealth will not send messages to patients marked as inactive.
Search for patients
The patient search bar is available on the top left of every NexHealth page, allowing you to search for and access a Patient Profile no matter where in the platform you are.
Search for patients by clicking the search bar and typing the first few letters of the patient's name, or click ctrl/cmd + k to open the search.
Manage duplicate patient records
If you find duplicate patients in NexHealth, and one of them does not have the non-synced icon next to their name so you can archive them, you will first want to check to see if there are matching duplicate records in your practice management system.
If there are duplicates in your system, first attempt to manage this from your health record system (either by deleting, archiving, or marking them as inactive). Once updated in your practice management system, the changes should sync to NexHealth within 24 hours.
If you are unable to manage the duplicate in your system, or the above does not resolve the issue of duplicate patients in NexHealth, removing the duplicate can be handled by our team.
Monitor patient activity
Alerts on the NexHealth home page provide an at-a-glance overview of actions you can take to ensure patients are ready for their appointments.
There are two places to quickly view the actions patients need to complete: NexHealth Home, and the Patient Quick View.
The notifications next to patients’ names on the NexHealth home page alert you to missing information, upcoming appointments, or tasks that need attention, like incomplete forms or unverified insurance.
1. Click on a patient's name or use the patient search to open the patient quick view.
2. History contains all NexHealth activity and can be filtered to view the specific activity you're looking for.
3. Switch to Messages or Appointments to view only those activities, or use the Filter by dropdown to create a specific view.
Manage patient activity
From the patient quick view page, you can view a patient's NexHealth activity and take action. See patients' contact and demographic information, get a quick review of their upcoming appointments and form progress, see their history with NexHealth, and communicate through messages and requests.
Actions available from the patient quick view page:
Manage the patient’s communication preferences and opt them out or into texts and emails for specific communications
View the history of all NexHealth actions (forms received, messages sent, etc.)
Send a form or payment request
Click Actions in the upper-right of the Patient Quick View.
Select Request forms or Collect payment.
Send a text message
Switch to the Messages tab and compose and send messages directly from there.
Edit patient information
The Synchronizer reads patient information directly from your health record system and will sync any changes you make there in NexHealth.
Best practice is to use your health record system as the source of truth and make any edits to patient information there, but it is possible to edit patient information in NexHealth if needed.
*Note: NexHealth reads patients without an appointment on a less immediate basis than those with an appointment. If you update the phone number or email for a patient who does not have an upcoming appointment on the schedule, it can take up to an hour for that information to sync to NexHealth.
To edit a patient's contact details in NexHealth:
1. Search for the patient in the top left search bar and open the patient profile.
2. Click Actions and then Edit patient info.
3. Edit the information as needed.
4. Click Save.
*Note: Currently, NexHealth only supports a single phone number or email for communications.
Update patient communication preferences
Some patients may prefer not to receive marketing emails, review requests, or even reminders for their appointments. NexHealth is flexible and built to accommodate all patients’ needs.
Patients always have the option to unsubscribe from email communications or STOP SMS communications on their own. If, however, you receive a request to stop sending a specific communication to a patient, it is easy to update their preferences in NexHealth.
To update patient communication preferences:
1. Search for the patient’s NexHealth profile.
2. Click on Actions and select Communication preferences.
3. Use the toggles at the top to turn off ALL communications via Email or SMS.
4. Alternatively, expand the Appointment or Patient drawers to select specific communications.
If you need to opt a patient out just one time for a specific appointment, use the toggles found in the ellipsis (...) to the right of the patient's name on NexHealth Home.
This will override the automation setup to send them the template in question without changing their preferences for future appointments.
