Your health record system is the source of truth when it comes to your patient list. You should always attempt to manage patients (create, archive, make inactive, or remove duplicates) from there first.
NexHealth’s Synchronizer automatically updates your patient list from the health record system in minutes. So, to add a patient, add them to your health record system.
We realize that sometimes it is necessary to create a patient in NexHealth (for example, when you want to message someone who is not a patient), but not add them to your practice management system, or have them be an active patient in NexHealth. Also, occasionally, duplicate patients will appear in NexHealth that do not appear in your health record system.
You do not need to do this to message non-patients - you can message them directly from NexHealth Messages
Patients created only in NexHealth will not appear in your health record system, but they can be archived in NexHealth to remove them from the active NexHealth patient list.
Overview
Add a new non-synced patient to NexHealth
For non-sync clients, meaning anyone who is not using a health record system integrated with the NexHealth Synchronizer, patients can be added manually using the Create patient button found in the Patients tab.
Customers using NexHealth Synchronizer should always defer to adding new patients through their health record system, first!
1. Select Create patient.
From Patients in the sidebar, select Create patient in the upper-right.
2. Enter the patient information.
When you click Create patient, you’ll receive prompts to enter fields such as First name, Last name, email, and phone number.
Enter the patient’s information, then click Save. |

There’s no need to login to NexHealth before creating the patient profile in your health record system. Once the patient is added the sync will pick up the new patient automatically.
It may take up to 15 minutes for the patient to appear in NexHealth. This sync can happen at any time, 24 hours a day. Once the patient appears in NexHealth, you’ll be able to send forms, SMS messages, and more.
Archiving non-synced patients
Patients synced with your practice management system can only be archived from your practice management system, ensuring data consistency across both platforms.

We've made it easy to archive non-synced patients in NexHealth (meaning patients who are not in your health record system) while maintaining their messaging history, and quickly restore archived records when needed.
Archived records are automatically removed from:
General patient searches
Patient lists and schedules
Automated communications
Online booking matches
Note: Patients created by sending them a message from NexHealth, as well as any patients archived in NexHealth, WILL NOT sync to your practice management system.
Archive a non-synced patient.
From the patient profile, select Actions, then Archive patient.
Archived patients are marked Archived next to the patient's name. |
View archived patients.
From the Patients table, click on View archived patients. This displays a list of all patients archived in NexHealth.
The ability to view archived records is managed securely via assigning admin-level permissions on the Manage users page.
Unarchive patients.
To unarchive a patient, click Unarchive patient from the top right of an archived patient profile, then Confirm. |
Manage duplicate synced patients
Note: If you find duplicate patients in NexHealth, and neither of them has the non-synced icon next to their name, you will first want to check and see if there are matching duplicate records in your practice management system.
1. Attempt to manage duplicates from your health record system.
If there are duplicates, first attempt to manage the duplicate from your health record system (either by deleting, archiving, or marking the patient as inactive). Once updated in your practice management system, the changes should sync to NexHealth within 24 hours.
2. Contact support.
If you are unable to manage the duplicate in your system, or the above does not resolve the issue of duplicate patients in NexHealth, removing the duplicate can be handled by our team.
